This Privacy Policy explains how Third Agent Studio collects, uses, shares and retains personal information when you visit thirdagentstudio.com, call our published telephone number, or interact with the AI assistant available on this site. Please read it alongside the privacy notices of any of our products you use, which are published on their own websites.

Information we collect
Information you provide
When you contact us by telephone or through the assistant, we collect what you choose to tell us. This typically includes your name, a telephone number or email address, the name of your business, a description of what you need, and your scheduling preferences.
Calls and conversations
Telephone calls to our published number are answered by an AI agent, which identifies itself as such at the beginning of the call. Telephone calls, text chat sessions and voice sessions conducted through the assistant on this site are transcribed, and those transcripts are retained for quality assurance and delivered to us. Voice sessions use your device microphone only while a session is active, and your browser will request your permission before access is granted.
If you ask the assistant to schedule an appointment, the details you provide are written to our calendar in order to create that appointment.
Information collected automatically
When you visit this site, we and our service providers automatically collect technical information, including your IP address, browser type and version, device and operating system, referring page, the pages you view, and the dates and times of those requests. This information comes from server logs and from the analytics services described in section 03.
03
Cookies and analytics
We use analytics to understand how the site is used and to keep it secure and available:
- Cloudflare. Cloudflare hosts this site and provides traffic and security analytics. Cloudflare processes request data, including IP addresses, in order to serve pages, mitigate abuse and produce aggregate traffic reports.
- Google Analytics. Google Analytics is used to measure site usage. It sets cookies on your device and collects information including your IP address, device and browser characteristics, the pages you view and how you arrived at the site. Google processes this information as our service provider.
We do not use advertising cookies, and we do not use analytics information to target you with advertising on other websites.
You can control cookies through your browser settings, and you can prevent Google Analytics from collecting your information by installing the Google Analytics opt-out browser add-on. Blocking cookies will not prevent you from using this site.
Separately, the assistant stores the current conversation in your browser’s session storage so that it persists as you move between pages. That storage clears when you close the tab and is not a cookie.
04
How we use information
- To answer your enquiries and respond to requests.
- To schedule, confirm and prepare for appointments.
- To review call, chat and voice transcripts for quality assurance, and to improve the accuracy and conduct of our AI agents.
- To operate, secure and improve this site.
- To provide advisory services where you become a client.
- To comply with legal obligations and to establish or defend legal claims.
05
Legal bases for processing
Where the General Data Protection Regulation or UK GDPR applies, we rely on the following legal bases: performance of a contract, or steps taken at your request prior to entering one, when we respond to enquiries and deliver services; our legitimate interests in operating, securing, measuring and improving this site and our AI agents; your consent, where consent is required, including for non-essential cookies; and compliance with legal obligations.
06
Sharing and disclosure
We do not sell or rent personal information. We share it only as follows:
- Service providers. Cloudflare for hosting and analytics; Google for analytics and calendar scheduling; and Web Ready AI, which operates the chat and voice assistant. Web Ready AI is our own product, so the assistant and this site are operated by the same practice.
- Legal requirements. Where we are required to disclose information by law, or where disclosure is necessary to protect our rights, safety or property.
- Business transfers. If the practice or its assets are acquired, information may transfer as part of that transaction.
07
International transfers
We operate from the United States, and our service providers process information in the United States and other countries. If you contact us from outside the United States, your information will be transferred to and processed in the United States, where data protection law may differ from that of your own jurisdiction. Where required, we rely on appropriate transfer safeguards, including the Standard Contractual Clauses.
08
Retention
Call, chat and voice transcripts are retained for quality assurance for as long as they remain useful for that purpose, and are then deleted. Enquiry and client records are retained for as long as we have a relationship with you, and afterwards for as long as we are required to keep them for tax, accounting and legal purposes. Server logs and analytics data are retained according to the retention periods set by Cloudflare and Google. We will delete information sooner on request, as described in section 09.
09
Your rights and choices
Depending on where you live, you may have the right to request access to the personal information we hold about you, to have it corrected or deleted, to object to or restrict how we process it, to receive a copy in a portable format, and to withdraw consent where we rely on it. Residents of California and other states with comprehensive privacy laws may also have the right to know what information is collected and to opt out of its sale or sharing; as stated above, we do not sell personal information or share it for cross-context behavioural advertising.
To exercise any of these rights, call 615-709-5574 or ask the assistant on this site. Tell us approximately when you contacted us so that we can locate the relevant records. We will not discriminate against you for exercising your rights.
10
Security
We apply reasonable administrative and technical safeguards to protect personal information, including encryption in transit, access controls, and approval gates and audit records on actions taken by our AI agents. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
11
Children’s privacy
This site and our services are directed to businesses and are not intended for children. We do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, contact us and we will delete it.
12
Changes to this policy
We may update this policy to reflect changes to our practices or to legal requirements. When we do, we will revise the date shown at the top of this page, and material changes will be described here.
